Introduction

The Pryor High School Alumni Association (“Association,” “we,” “our,” or “us”) respects your privacy and is committed to protecting the personal information of alumni, members, donors, volunteers, supporters, and website users. This Privacy Policy explains how we collect, use, share, store, and protect information obtained through our website, member portal, communications, events, donations, and related services.

1. Information We Collect

We may collect personal information voluntarily provided by users, including names, graduation years, contact information, employer information, payment information, profile details, photographs, and communications submitted to the Association. We may also automatically collect technical information such as IP addresses, browser types, device information, and Website usage analytics.

2. How We Use Information

We may use collected information to administer and maintain the Website; verify alumni eligibility; manage accounts; provide access to members-only content; facilitate alumni networking; process memberships, donations, and registrations; communicate with users; improve Website functionality; protect Website security; comply with legal obligations; and preserve alumni historical records.

3. Information Shared With Other Registered Users

By creating an account or participating in the Website, you expressly acknowledge and agree that certain personal information you provide may be viewable by other approved registered members of the Association. Such information may include your name, graduation year, employer or occupation, city and state of residence, email address, telephone number, profile photograph, alumni involvement, and other profile information voluntarily submitted by you. While access is limited to approved users, the Association cannot guarantee that other users will not copy, retain, misuse, or redistribute information available within the members-only area.

4. Approval & Access Restrictions

Access to the members-only section of the Website is restricted to approved users. The Association reserves the right to approve or deny applications, verify alumni status or identity, revoke user access, remove content, suspend accounts, or terminate access at its discretion.

5. Cookies & Analytics

The Website may use cookies, analytics services, and similar technologies to improve functionality, analyze traffic, and enhance user experience.

6. Donations & Payment Information

Donations, membership payments, and event registration fees may be processed through third- party payment processors. The Association generally does not store full payment card information on its own servers.

7. Third-Party Services & Links

The Website may contain links to third-party websites, services, social media platforms, event software, email providers, or fundraising tools. The Association is not responsible for the privacy, content, or security practices of third-party services.

8. Data Security

The Association uses commercially reasonable safeguards designed to protect personal information; however, no website, database, or electronic transmission is completely secure. Accordingly, the Association cannot guarantee absolute security.

9. Email Communications

By providing contact information to the Association, users consent to receiving communications electronically, including newsletters, event announcements, fundraising requests, membership notices, volunteer opportunities, and administrative notifications.

10. User Choices & Access to Information

Users may request corrections to inaccurate personal information, updates to profile information, removal of certain profile details, or deletion of member accounts where feasible. The Association may retain certain information for legal, tax, archival, operational, or historical purposes.

11. Retention of Information

The Association may retain personal information for as long as reasonably necessary to fulfill the purposes described in this Privacy Policy unless a longer retention period is required or permitted by law.

12. Children’s Privacy

The Website is not directed to children under the age of fifteen (15), and the Association does not knowingly collect personal information from children under thirteen.

13. Nonprofit & Charitable Use

The Pryor High School Alumni Association operates as a nonprofit organization organized under Section 501(c)(3) of the Internal Revenue Code. Personal information collected may be used in furtherance of the Association’s charitable, educational, alumni-relations, networking, historical, fundraising, and nonprofit purposes.

14. Prohibited Uses of Member Information

Users may not use member information obtained through the Website for commercial solicitation, spam or bulk messaging, political campaigning, unauthorized marketing, lead generation, unlawful purposes, or harassment.

15. Changes to This Privacy Policy

The Association reserves the right to update or modify this Privacy Policy at any time. Continued use of the Website after changes are posted constitutes acceptance of the revised Privacy Policy.

16. Governing Law & Venue

This Privacy Policy shall be governed by the laws of the State of Oklahoma. Any dispute arising from this Privacy Policy or use of the Website shall be brought exclusively in an Oklahoma state court of competent jurisdiction.

18. Consent

By accessing, registering for, or using the Website, you acknowledge that you have read, understood, and agreed to this Privacy Policy.

Board Member & Volunteer Liability Protection

To the fullest extent permitted under Oklahoma law, no director, officer, board member, committee member, volunteer, employee, representative, or agent of the Pryor High School Alumni Association shall be personally liable for any claims, damages, losses, liabilities, or causes of action arising out of or related to use of the Website, member interactions, member- generated content, Website availability or functionality, data breaches or unauthorized access, Association decisions regarding membership or access, enforcement of Association policies, or communications or activities conducted through the Website. Any claim arising from use of the Website or Services shall be asserted solely against the Association entity itself and not against any individual director, officer, volunteer, or representative personally. Users expressly waive any attempt to impose personal liability upon directors, officers, volunteers, committee members, or representatives of the Association for actions undertaken in good faith within the scope of Association activities.

Member Communications

The Website and members-only features may permit approved users to communicate with one another for legitimate alumni-related, educational, charitable, social, networking, mentoring, reunion, professional, or Association-related purposes. By participating in the Website, users acknowledge and agree that other approved members may contact them using information voluntarily made available through the Website or member directory. Users agree that all communications conducted through or arising from use of the Website shall be respectful, lawful, non-commercial, and consistent with the purposes of the Association. The Association reserves the right to restrict, monitor, suspend, or terminate user access for communications or conduct it reasonably believes to be improper, excessive, harassing, unlawful, commercial in nature, or inconsistent with the purposes of the Association.
